Privacy Policy

Automated Tradie (“we”, “us”) sets up and runs AI admin tools for trade businesses. This policy explains what information we collect, why, and what we do with it. We follow the Australian Privacy Principles in the Privacy Act 1988 (Cth).

Who we are

Information we collect

When you enquire. Your name, business name, email address, phone number if you give it, and anything you tell us about your business, such as your trade, number of staff and the software you use.

When you become a member. To run the automations we connect to systems you choose, such as ServiceM8, Xero, your email inbox and your phone line. Depending on the services you use, this can include:

  • your customers’ names, contact details, site addresses and job history
  • emails and messages sent to and from your business
  • phone call audio, transcripts and call summaries handled by the voice agent
  • invoices, quotes and payment status
  • your staff’s names, timesheets, job check-in times and vehicle GPS records, where you ask us to report labour utilisation
  • samples of your own writing, used so replies sound like you

When you visit this website. Our web host keeps standard server logs (IP address, browser type, pages visited) for security and troubleshooting. We don’t use advertising or tracking cookies.

How we use it

  • to reply to your enquiry and give you an estimate
  • to set up, run and improve the automations for your business
  • to send invoices for our service and handle support
  • to meet our legal obligations

We only use your business’s data to provide the service to your business. We don’t sell it, we don’t use it for our own marketing lists, and we don’t use it to train public AI models.

AI and third-party services

The automations use AI services from third-party providers to read, write and summarise text and to handle phone calls. We choose providers that don’t train their models on customer data sent through their business services. Information may also pass through the software you already use, such as ServiceM8, Xero, Microsoft 365 or Google Workspace, under those providers’ own terms.

Information stored overseas

Some of our providers store or process information outside Australia, mainly in the United States. We take reasonable steps to make sure they protect it in a way consistent with the Australian Privacy Principles.

Phone calls

Where the voice agent answers calls for a member business, callers are told the call may be recorded before the conversation continues. Recordings and transcripts are kept so the business can follow up the job.

Your customers’ information

When we handle information about a member’s customers or staff, we do it on the member’s behalf and on their instructions. The member business remains responsible for telling its own customers and staff how their information is used.

Security and how long we keep it

We use secure connections, limited access and the security settings of each connected system. Access to your systems is only as wide as each task needs. When you leave, we disconnect our access and delete the information we hold for your business within 90 days, unless the law requires us to keep it longer. Enquiries that don’t go ahead are deleted after 12 months.

Access, correction and complaints

You can ask to see or correct the personal information we hold about you by emailing hello@automatedtradie.com. We’ll reply within 30 days. If you’re unhappy with how we’ve handled your information, email us first and we’ll try to fix it. If you’re still not satisfied, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Changes

We’ll update this page if our practices change. The date at the top shows when it was last updated.
